How to handle unhappy guests before they write a bad review

Most unhappy guests never complain in person. How to hear about problems in time, fix them on the spot, and respond well if a bad review is already online.

Updated:

Most unhappy guests stay silent

Few guests complain to the waiter. They say “everything was fine”, pay, and tell Google later. By the time you read the review, the guest is long gone and the chance to fix it has passed.

Give guests an easy private channel

Guests are more honest on their phone than face to face. A quick, private feedback page at the table — a QR code with a few questions — gives them somewhere to say what went wrong, directly to you instead of to the whole internet.

Act while the guest is still there

A problem fixed at the table is usually forgotten; the same problem discovered the next day becomes a one-star review. Make sure low scores reach a manager's phone right away, so someone can go over, listen and put it right.

How to respond to a complaint

  • Listen to the end without interrupting or explaining.
  • Apologise for the experience, not with excuses.
  • Fix what can be fixed now: replace the dish, speed up the order, change the table.
  • Follow up: if the guest left a contact, write to them the next day.

If a bad review is already online

Reply publicly, calmly and briefly. Thank the guest, apologise for what went wrong, say what you have changed, and invite them to contact you directly. Never argue in public — future guests read your reply more closely than the review.

Ask Google to remove a review only if it breaks Google's rules, for example spam or a review from someone who was never a guest.

How TakFap helps

With TakFap Review, guests who score below the rating line you choose reach you privately, and your managers get an instant alert on their phone with the scores, the comment and who served the table — while the guest is still there.
