How to reply to Google reviews: a guide for restaurants, with examples

Why replies matter
Future guests read your replies as closely as the reviews. A thoughtful answer to a bad review often does more for your reputation than another five stars. Google also lists replying to reviews among the ways a business can show it is active and cares about its guests.
Replying to a good review
Thank the guest by name, mention one thing they wrote about, and invite them back. Two or three sentences are enough.
Example: “Thank you, Elena! We're glad the grilled octopus was a hit — it's the chef's favourite too. See you on the terrace next time.”
Replying to a bad review
Stay calm and write for the next guest who will read it, not only for the person who complained.
- Thank them for telling you.
- Apologise for the experience, without excuses or blame.
- Say briefly what you have changed or checked.
- Invite them to contact you directly to put it right.
An example for a bad review
“Thank you for letting us know, Marco, and we're sorry your pasta arrived cold on Saturday. That's not the standard we hold ourselves to. We've changed how dishes are passed from the kitchen at busy times. We'd like to make it up to you — please write to us on WhatsApp.”
What to avoid
- The same copy-pasted reply under every review.
- Arguing, correcting the guest in public or guessing who they are.
- Sharing details about the guest's visit, bill or booking.
- Offering a discount in exchange for changing or removing the review.
How fast to reply
Within a day or two. A quick reply to a bad review shows you take it seriously, and the guest is still open to hearing from you. Set a fixed moment in the week to catch up on everything else.
